To describe the Policy adopted by ICMS in respect to the 'Refund of Fees' - and its application to new & returning international students

NOTE: This policy and the further availability of complaints and appeals processes, does not remove the right of the student to take further action under Australia's Consumer Protection laws
 
REFUND AT THE APPLICATION STAGE

If a student application is unsuccessful or if their student visa application is refused (prior to the commencement of the course), 100% of any and all pre-paid tuition fees will be returned.

PRIOR TO OR DURING THE FIRST TERM OF STUDY

If a new international student withdraws his or her application:

Time of Withdrawal Effect on Fee Refund
After the issuance of student visa

(nb - this includes student who fail to enrol on the prescribed date during Orientation Week, and fail to notify ICMS of their intent to either Defer or Withdraw, prior to Monday of Week One (1))
  • 50% of Tuition fee forfeited*
  • Enrolment and Student Visa cancelled
After enrolment but Before the end of Week Two (2)
  • 50% of Tuition fees for the Term forfeited*
  • Enrolment and Student Visa cancelled
After enrolment and After the end of Week Two (2)
  • 100% of Tuition fees for the Term forfeited
  • Enrolment and Student Visa cancelled

*For students enrolled in the Foundation Program 50% of the course fee will be forfeited

Students who have received an Offer prior to 17th April 2014 should refer to the previous version of Refund Policy - copy available on request
 

 

2nd AND SUBSEQUENT STUDY TERMS

If a returning international student withdraws his or her enrolment:

Time of Withdrawal Effect on Fee Refund
Before Monday of Week One (1)
  • No financial penalty
  • Enrolment and Student Visa cancelled
Student fails to advise Student Services in writing of their withdrawal - by Monday of Week One (1) and have not paid their fees
  • Administration fee of $500
  • Student Visa cancelled
After enrolment and Before the end of Week Two (2)
  • 50% of Tuition fees for the Term forfeited
After enrolment and After the end of Week Two (2)
  • 100% of Tuition fees for the Term forfeited
 

 

Refund Process

Refunds will be processed only when all relevant documentation along with a 'Refund Payment Details' form is received by the ICMS Finance Department.

Whilst ICMS will process the refund as soon as possible, students should note the refund process may take up to 14 days.

No financial appeal in a trimester will be considered after week 13 of that trimester.

Note:

  • If an international student withdraws, ICMS will cancel the student's visa and advice DIBP
  • If an international student fails to arrive on the course start date, and has not advised ICMS of the reason for a delay, ICMS will immediately advise the student that his/her enrolment has been cancelled and it plans to cancel his/her visa by advising DIBP. A student so advised will have 20 days to access the ICMS appeals and grievance procedure, before DIBP is advised and the student visa is cancelled
  • Once cancellation of enrolment is finalised (and the DIBP is informed), a student has 28 days, from the date of cancellation, to leave Australia or make alternate arrangements.

 

No Refund
If a student is Suspended, Dismissed or Expelled, due to misconduct during the term, there will be no refund of tuition or residential fees
 

The Policy applies to applies to the following student groups:

  1. New International Students
  2. Returning International Students
 

For the avoidance of doubt, any amounts ($) noted within this policy are represented in Australian Dollars (AUD)
